Important: The home office deduction is only available to self-employed workers, business owners, and those who use a home office for a side business. W-2 employees working from home cannot claim this deduction under current law (the 2017 Tax Cuts and Jobs Act eliminated it for employees).
Qualification Rules
- •Regular and exclusive use: The space must be used regularly and exclusively for business — a guest bedroom with a desk doesn't qualify
- •Principal place of business: Your home office must be your main business location, or where you meet clients, or a separate structure used for business
- •Self-employed, freelancer, or business owner: W-2 employees do not qualify under current law
Two Calculation Methods
- •Simplified method: $5/sq ft of office space, up to 300 sq ft = max $1,500/year. No receipts needed, easy to calculate.
- •Regular method: (Office sq ft ÷ Total home sq ft) × Home expenses. Deductible home expenses: rent/mortgage interest, utilities, home insurance, repairs, depreciation.
- •Example: 200 sq ft office in 2,000 sq ft home = 10%. Annual rent $24,000 × 10% = $2,400 deduction.
Additional Deductions for Home Office Users
- •Direct expenses: 100% deductible — repairs to the office itself, painting the office
- •Indirect expenses: Proportional share — utilities, internet, home insurance, property taxes
- •Internet: If used primarily for business, a larger percentage is deductible (often 50–100%)
- •Depreciation: If you own, you can deduct depreciation on the office portion — but may face depreciation recapture on sale
The simplified method is almost always better for renters and those with smaller offices. The regular method wins for homeowners with large offices who can deduct mortgage interest, depreciation, and higher utility proportions.
Document everything. Keep photos of your office, records of exclusive business use, and receipts for home expenses. The home office deduction has historically been an audit trigger — not because it's illegitimate, but because people misuse it. Proper documentation eliminates any risk.
